The crew app

The crew app is your side of the business: today's stops, the route between them, a timer that turns into the invoice, and Sarah on a live call when you're running late. This page is the tour; the timer and getting paid have their own pages — Tracking your time and Getting paid on site.

Getting in

You don't sign up — the office sends the invite (from their Team page). Once you've accepted it, you have an email and password.

Pick 'On the crew' — the app shows the right side of the business for your role.

  1. Open the app and pick On the crew on the "Sign in as" screen.
  2. Sign in with your email and password. You stay signed in for about 90 days — the app keeps your session in the phone's secure Keychain, so it's not a daily chore.
  3. Clock in with a 6-digit PIN. The first PIN you enter on that phone sets it; after that it has to match. It's a quick daily gate on this phone, not a second password.

If it's not your phone, Switch user on the PIN screen clears the session so a teammate can sign in as themselves.

My Day

Your home screen. Up top: your name, org and Gas Safe number, plus today's numbers — Stops today / Done / Booked to you.

  • Location-share card — the toggle that decides whether the office can see you. "Sharing location — Working hours only" when it's on; "Location paused" when it's not. Full detail in Location & privacy.
  • Day timeline — today's stops in order, done rows ticked off, and a "next" card for what's coming.
  • Board view — your jobs by status. Drag a card between columns to move it — the office board updates the moment you do. You only see and move your own jobs.
  • Next-stop card — the navigate icon opens Apple or Google Maps, Start job starts the timer and moves the job to In progress, and Stop shows the live clock.
  • "Running late? Sarah will text ahead" — opens a live voice call with Sarah so the customer hears from you before they start wondering.

My Route

Today's stops on the map — ETAs, Optimise, and Go to hand off to turn-by-turn.

  • The top bar shows your next stop and how many minutes away you are. Go hands off to Apple or Google Maps for turn-by-turn.
  • The My route today sheet lists the stops in order with predicted arrival times and late/early pills. Optimise (when you have 3 or more stops left) asks the server to re-order the day and tells you the minutes saved — it respects any arrival windows the customers were promised.
  • Tap a pin for the job sheet: Navigate / Call / Message. Message sends a real text from the business — quick options like "On my way", "Arriving shortly" and "Running late", so you're not typing at a red light.

The "Me" pin is drawn from your phone locally — it is never sent to the office.

The Job screen

Everything about one stop, and the buttons in the order you'll use them.

One job: the facts, the map, the timeline, and the sticky bar that walks you to the invoice.

  • Status pill (shows "On site" with a live clock while you're timing), the contact, a street-level map with Navigate, and fact tiles: Scheduled / Engineer / Price / Invoice.
  • Before you price — the questions the office needs answered before a price can go out, one card each, hardest first. Each one is a photo to take, not a box to fill in. See Before you price.
  • What you're fitting, built from the job's service lines. The ticks save, so the office can see what has gone in without ringing you. A tick records progress only; it never changes what the customer is charged.
  • Photos — anything worth a picture that is not answering one of the questions.
  • Anything else — a note, for what nobody thought to ask about. Untick "this changes the job" if it is just a message for the office.
  • The Activity timeline is the job's real history — notes, texts, status changes.
  • The sticky bar walks the visit: call the customer → Start jobOpen tracker (live clock) → Mark complete once there's time on the job → the invoice screen.
  • "Hands full? Tell Sarah" — a live call to answer the questions out loud, tick work off, extend the job, or text the next customer.

Me

Your details and the end of the day.

  • Identity band — name, role, org, "On the clock since" your clock-in time.
  • Your current job card with Open job / Start job.
  • Location & privacy — the sharing toggle, "Working hours — Set by the office", and "Location history — Auto-wiped after 30 days".
  • My details — Gas Safe number and expiry, van, skills. The office edits these (or you can, on the web profile).
  • Help — "Call the office" rings a real owner or admin.
  • Clock out for the day stops location tracking and returns to the PIN screen. Sign out ends the session entirely.

Office messaging inside the app is on its way — for now, "Call the office" is the direct line.

Talking to Sarah from the van

The "Running late?" and "Running over?" buttons open a live, open-mic voice call with Sarah — the same AI that answers the business line — with mute and live captions. Talk normally; no button-holding.

By voice you can add a job note, extend the current job, and do the combined "extend it, note why, and text the next customer" in one go. Anything customer-facing — like sending that text — gets a spoken readback first and only happens after you say yes. Internal edits (a note, an extension) apply straight away.
